IVC Evidensia, a leading European network of veterinary clinics, is dedicated to healthy pets and happy owners. Founded in 2011 and expanding to the Netherlands in 2016, the organization now operates in 12 countries with nearly 300 affiliated clinics in the Netherlands alone. By centralizing administrative tasks such as financial management, HR, purchasing and automation, Evidensia allows its clinics to focus entirely on delivering exceptional care to pets. However, the organization faced a significant bottleneck: an outdated system for managing IT requests.
Clinics relied on an external IT provider to handle user management and role assignments, leading to lengthy ticket-based lead times. This process created inefficiencies and slowed down operations. Evidensia needed a scalable, user-friendly solution to streamline these processes and support their rapid growth.
Evidensia’s legacy system was inefficient and hindered clinics from taking control of their own IT needs. Each request for user management or role adjustments had to be submitted via a ticketing system, which was managed externally. This setup not only delayed operations but also lacked the flexibility required for a fast-growing organization managing hundreds of clinics across Europe. The challenge was clear: Evidensia needed a robust, centralized solution that would empower clinics to manage user roles and Microsoft licenses independently while seamlessly integrating with existing systems.
Evidensia turned to SOWEDO to develop a streamlined and scalable solution. We built a custom portal on the no-code platform WEM. The portal was designed to address their specific needs and deliver powerful functionality:
The result was a centralized, intuitive platform that put control back into the hands of the clinics.
With the new portal, Evidensia’s clinics can now assign users and roles independently, eliminating reliance on external IT providers and significantly reducing lead times. This efficiency boost has already made an impact across five of the twelve countries where Evidensia operates, with plans for a full rollout by the end of the year.
While the initial implementation addressed Evidensia’s immediate challenges, our partnership with them has only grown stronger. Over the years, the system has evolved through continuous development using Agile Scrum methodology. Together with Evidensia’s team, we’ve expanded the platform’s capabilities to meet the organization’s changing needs and industry demands.
Today, we remain actively involved in enhancing and optimizing the solution, ensuring it stays ahead of the curve as Evidensia continues to grow and innovate.
